Changing email settings in Mac Mail

We've showed you how to set up an email account in your Mac Mail. Now we'll show you how to:

  • change your email account's user name and password,
  • leave a copy of messages on server, and
  • change email signatures.

Changing user names and passwords

1. Click the Mail menu, and then select Preferences.

In the Advanced window, select the Remove copy from server after retrieving a message option with one of the following frequencies.

Right away

After one day

After one week

After one month

When moved from Inbox. (If you select this option, the emails will be removed from server whenever you delete the emails from your Mac Mail's inbox.)

If you don't select the Remove copy from server after retrieving a message option, all your emails will be kept in you mailbox on the mail server indefinitely. When your mailbox exceeds your storage limit, it'll incur extra charges. See the FAQ below for how to clear emails from the mail server.

2. In the pop-up window, select Accounts from the top panel, choose the email account from the account list on the left, and then click the Account Information tab. Enter your new login details in the User Name and Password field.

Note: The new password you've entered in your Mac Mail should comply with the email password you've set up in your Toolkit. To find your email account's password, log in to your Toolkit, and then click Email setup on the My Service menu. You'll find the password by clicking your email address on the Active email address list.

When you're finished, close the Accounts window.

Leaving a copy of messages on server

This setting is only available when you set up your email account as a POP3 account.

Follow step 1 in the Changing user names or passwords section to open the Accounts window, and then click the Advanced tab.

In the Advanced window, select the Remove copy from server after retrieving a message option with one of the following frequencies.

Right away

After one day

After one week

After one month

Changing email signatures

Select the email account from the section on the left, click the + button to add a new signature, give a name to it, and then type your signature in the section on the right.

If you want to assign an existing signature to your email account, select the email account from the section on the left, and then choose the signature from the Choose Signature field at the bottom.

FAQ

Can I change my email account type from POP3 to IMAP or vice versa?

For your existing email accounts, you can't change their account type. You have to create a new account with a different account type.

If I have too many emails stored on the mail server, how do I delete them?

You can log in to your webmail (webmail.rwdigital.com.au) to delete the accumulated emails. This will clear the emails from the mail server. Remember to delete the emails from the deleted item box in the webmail, otherwise your account's storage usage will remain unchanged.

How do I change my name in an email account?

You can follow the same steps in the Changing your email account's user name and password section, and then change your name in the POP/IMAP Account Information section.
